VOLUNTEER SIGN UP AND INFORMATION GUIDE

FAQ's

AGE REQUIRMENT

All volunteer decorators must be at least 12 years old. Unfortunately, children under the age of 12 are not permitted to participate in decorating activities. This policy is established to meet safety standards and insurance requirements.

SAFETY

Please be aware that this is an active construction site with scaffolding, heavy objects, electrical equipment, and cords around your workspace. Do not climb on scaffolding or use any electrical equipment unless directed and supervised by AES Staff. Volunteers must be at least 13 years old to work on scaffolding. Report any injuries or illnesses to AES Staff or your Float Leader. First Aid kits are clearly marked and located on the facility walls.

PARKING

Free public parking is available in designated areas near Rosemont Pavilion and Rose Bowl Stadium. Please see location map for details.  Drop-offs and pick-ups for those with limited mobility are allowed on Seco Street in front of the Rosemont Pavilion.

VOLUNTEER CHECK-IN & WAIVERS

All volunteers must sign in at the Volunteer Check-In tables before each shift. The location is clearly marked with signs outside the Rosemont Pavilion. All volunteers must provide a signed Waiver form to participate in decorating. Minors aged 12 to 17 need a parent or guardian's signature on the form. You will receive a wristband that must be worn throughout your shift. If you volunteer on multiple days, you will need to sign a waiver daily to receive a new wristband for that day. 

WHAT TO BRING

Please bring your own painter’s or work gloves and scissors, as these are not provided. Also, bring any food or drinks you may want during your shift.

VOLUNTEER RESPONSIBILITIES

You'll be helping with tasks like cutting, prepping, and gluing both dry materials and fresh flowers onto the floats. Stick to your assigned task and stay with it until instructed otherwise. We appreciate your flexibility and patience!

WHAT TO WEAR

Wear comfortable clothes that you don’t mind getting dirty, painted, or torn. Dress in layers since temperatures and weather can vary greatly, and it’s often cold inside the facility. Closed-toe shoes are required—no sandals or flip-flops allowed.

PERSONAL BELONGINGS

Please do not bring valuable items with you, as lockers or secure storage are not available. Headphones, earbuds, and music devices are not allowed in the float barn. Mobile devices are permitted, but please only take photos before or after your shift. Artistic Entertainment Services is not responsible for lost, damaged, or stolen items.

FOOD AND BEVERAGES

For dry decorating days, we suggest bringing your own food and drinks, as the nearest restaurants are over a mile from Rosemont Pavilion and not within walking distance. Vending machines are available but have limited snacks and beverages. During floral decorating week, a food truck will be on-site for food and drink purchases. Please remember that no eating or drinking is allowed on any of the floats.

FLOWERS & SEEDS

Volunteers are not permitted to take or use any decorating materials, including flowers, petals, seeds, or stems (even broken ones), for personal use. Every material is essential for completing our floral masterpieces.

SCHOOL SERVICE HOURS

If you are a student completing service hours, feel free to bring your community service form with you. We also have a generic service verification form available if needed. Please see your Float Leader at the end of your shift to have your form signed.
