PARTNERING FOR SUCCESS
AES, Tournament of Roses and You
Your float builder plays a crucial role in bringing your vision to life, serving as both a key partner to your organization and a vital link to the Tournament of Roses. From float design and production to regulations, presentation, and final delivery, your float builder is your primary connection throughout this journey.
As a Parade Participant, you’ll also have the opportunity to engage with various Tournament of Roses committees responsible for managing the operational aspects of the parade. To help guide you through these interactions, you’ll be assigned a Tournament of Roses Staff Liaison. This liaison will support you in navigating key committee touchpoints and ensuring a smooth experience.
Now that you’ve selected AES as your float builder, one of your first steps should be to notify your Tournament of Roses Staff Liaison. Doing so allows us to access your participant profile within the TOR Parade Participant Portal, ensuring seamless communication and coordination.
We understand that the process may feel overwhelming at times, but rest assured—your AES team is here to support you every step of the way!

BRINGING YOUR VISION TO LIFE: Float Design & Build Process
DESIGNING YOUR FLOAT
Each year, the Tournament of Roses President selects a theme that reflects the organization’s mission and vision. Floats should creatively incorporate this theme to enhance their storytelling and connection to the tradition and spirit of the Rose Parade.
At AES, we work closely with you to bring your vision to life while ensuring alignment with the parade theme. Your float design should be finalized within 30 business days of signing your contract. Once approved, AES will present it to the Tournament of Roses Design/Variance Committee for review before construction begins.
● Key Design Considerations
▷ A visually dynamic and cohesive design with a clear message.
▷ A meaningful connection to the parade theme.
▷ Floral appeal and thoughtful use of natural materials.
▷ Special effects, animation, and entertainment elements to enhance visual impact.
● Float Standards
Size: 16' H x 18' W x 55' L
Visibility: Designed for equal appeal from both sides.
Capacity: Accommodates a maximum of 10 riders (unless otherwise specified).
● Signage, Branding & Commercialism
The Tournament of Roses encourages the artistic integration of participant names, logos, and branding while maintaining tasteful design and visual harmony.
▷ The float participant’s name must appear on both sides (branded signage).
▷ The title/theme must be displayed on the front apron of the float.
▷ Branded signage cannot exceed six square feet.
▷ All signage must be clearly legible and covered with natural materials.
By following these guidelines, your float will be a stunning showcase of artistry and brand representation, capturing the essence of the Rose Parade.
FLOAT CONSTRUCTION
The float construction process officially begins once the Tournament of Roses Design Variance (DV) Committee reviews and approves your float rendering. After finalizing the design with you, AES will present it to the committee, along with details on animation, special effects, signage, technical elements, riders, walkers, and entertainment components. This ensures that every element aligns with the Tournament of Roses’ guidelines, rules, and regulations.
● The Build Process
Float construction is an intricate, multi-phase process that doesn’t follow a linear path. Various components—metalwork, foam sculpting, artistic details, and painting—are developed at different stages and often in separate locations. As a result, capturing content during this process is not a static experience. AES will guide you on the best timing and opportunities to document key moments of your float’s transformation.
As construction nears completion, the AES Art Team begins applying decorative elements, creating a schematic that serves as the foundation for the floral design phase.
● The Floral Team: The Final Touch
Floral design is the heart of what makes a Rose Parade float truly extraordinary. The floral team works tirelessly to transform rigid materials—steel, wood, metal, and hard-coated foam—into breathtaking natural masterpieces. This meticulous process requires hundreds of hours of craftsmanship, creativity, and a deep understanding of floral artistry.
● Incorporating Technology
If your float includes portable electronic equipment—such as turntables, DJ setups, cameras (still & video), or GoPros—these elements should be discussed and integrated during the design and construction phase to ensure proper placement and functionality.
With careful planning, expert craftsmanship, and creative vision, your float will become an unforgettable showcase of artistry and innovation!
FLOAT RIDERS, WALKERS & PERFORMERS
If your float includes riders, walkers, or performers, they should complement your float’s theme and purpose, making the experience even more engaging for the audience. With a 5 ½ mile parade route and no planned stops, all participants should be prepared for a steady and exciting journey down Colorado Boulevard!
● Capacity & Age Requirements
▷ Up to 10 riders, all 12+ years old.
▷ Minors under 18 require 1 adult per 10 minors.
▷ The number of walkers and entertainers varies based on the float’s design.
▷ Final participant count must be confirmed at design approval.
● Costume & Wardrobe
▷ Riders, walkers, and performers should wear attire that complements the float’s design and enhances its overall look.
● Safety & Security
▷ All participants must sign a Release Form; those 12–17 need a parent/guardian signature.
▷ Participants must provide their full legal name, date of birth, and email.
● Participant Lists, Waivers & Forms
▷ A complete participant list (names, birthdates, contact info) is due by Nov. 1 in the Tournament of Roses Portal.
▷ The primary float contact will receive a waiver link from the Tournament of Roses around Nov. 1.
▷ All waivers must be signed by Dec. 1.
▷ Any changes after Dec. 1 must be communicated to the AES Project Manager for approval.
By ensuring these details are in place, we can create a safe, seamless, and truly unforgettable Rose Parade experience for everyone involved!
MUSIC GUIDELINES FOR YOUR FLOAT
The Tournament of Roses secures a general broadcast performance clearance for live and recorded music licensed through BMI and ASCAP. Any sounds performed on a Rose Parade float—referred to as "Musical Works"—fall under these licensing terms. However, neither the Tournament of Roses nor AES
can guarantee the audio quality for the television broadcast.
If your Musical Works are not in the public domain or not covered under the Tournament’s BMI and ASCAP licenses, your organization must obtain written authorization to:
✔ Perform the Musical Works on the float.
✔ Allow the performance to be broadcast worldwide via TV and radio.
● Music Submission Requirements
For each musical selection, you must provide:
▷ Selection Title
▷ Composer
▷ Arranger
▷ Publisher
▷ Performer
● Deadlines & File Requirements
▷ September 1 – All music plans (including legal rights) must be submitted to AES and the Tournament of Roses.
▷ October 1 – MP3 files (less than 10MB) must be uploaded to the Tournament of Roses Portal and a separate copy provided to AES
This final submission will be the exact music file used for your float’s sound production, so please ensure it meets all guidelines.
FLOAT DECORATING
Bringing Your Float to Life with Natural Materials
The Rose Parade is the largest floral parade of its kind, and every float must be decorated entirely with natural floral and non-floral materials.
▷ All visible surfaces of the float must be fully covered with fresh foliage or other natural materials.
▷ Materials are carefully selected to enhance the float’s design, but not all colors are available in natural materials. Our skilled floral team ensures the best possible match, though slight color variations may occur due to the drying process.
▷ No flowers or natural materials treated with synthetic or natural dyes during their growing cycle may be used.
● Volunteer Decorating
During the final stages of float construction, volunteers from your organization can participate in the decorating process alongside our professional team. Volunteers help apply a variety of seeds, bark, fruits, vegetables, grasses, and flowers to complete the float’s intricate design.
▷ Open to individuals and groups in November & December.
▷ For safety reasons, all volunteers must be at least 12 years old. No exceptions.
If your organization would like to reserve dedicated decorating opportunities for employees, donors, clients, partners, or family and friends, we offer:
● Group Decorating
▷ For groups of 25–200
▷ Minimum four-hour time block
▷ Available throughout November & December
AES provides an online registration platform for both general and private group decorating. Once your schedule is confirmed, your organization will receive a dedicated sign-up link for participants to reserve their decorating time slots.
▷ Group decorating requires at least 25 participants (12 years of age and older) per four-hour session.
▷ Each float can accommodate up to 50 volunteers per time slot.
● Scheduling & Deadlines
▷ Dry Material Decorating: Begins in November and continues through December. Exact dates will be provided to you in early October.
▷ Fresh Floral Decorating (aka Decoration Week): December 26–30.
▷ Group & VIP Decorating Events must be scheduled with AES no later than October 31.
By participating in float decorating, your team becomes an integral part of the parade’s creative process, making this experience even more memorable!
FLOAT JUDGING
Each year, three distinguished Float Judges evaluate all parade floats over a two-day judging tour. Judging takes place twice in the days leading up to the Rose Parade, with the final session serving as a !mandatory rehearsal for all participants.
Judging Schedule & Requirements
● December 30 – Float Preview
▷ The judges conduct an initial review, where they are introduced to each float’s theme, concept, floral design, and entertainment/animation elements. Your AES float team will present the float on this day.
● December 31 – Official Judging & Dress Rehearsal
▷ All riders, walkers, performers, and entertainers must be present and in full costume, ready to perform. This serves as the official dress rehearsal, including onboarding and exiting procedures.
▷ No substitutes are allowed unless they are replacing a participant on Parade Day.
▷ If your float includes a large performance group, any additional rehearsals should be scheduled before final judging to ensure a smooth presentation.
A detailed judging schedule with arrival times, check-in procedures, and dismissal times will be provided two weeks prior to the event.
By preparing in advance, your team will be ready to make a lasting impression on the judges and parade audience
